Private Roller Skate Party Booking Policy

Full Terms and Conditions for Roller Skate Parties at Venues we book on your behalf

 

1 – Communication

When you make a booking we assume the person making the enquiry is:

  1. Over 18

  2. Taking responsibility for the group booking

  3. Able to respond to any requests for information from us, within 48 hours of the request being made.

  4. Able to make decisions on behalf of the group, including that all group members are over 18. We strongly recommend that all group members carry suitable ID when they visit Leeds city centre, as Roller Girl Gang cannot be held responsible for refusal of entry to the venue, and no refund will be given.

  5. All party bookings are bespoke- tailored to the venue you choose, the number of guests you wish to have, and how much entertainment you would like us to lead.  

 

2 – Booking and Payment

3 - Stages of Payment:

Deposit of £50

Confirmed booking 50% of remaining balance is due within 7 days of booking being confirmed.

One month before party - remaining balance is due.


 

Provisional Bookings:

A provisional booking is defined as a roller skate party that has been booked without  full confirmation from the venue, of the time and date. For example, using our website booking form or booking at an event, eg. wedding fair.  We aim to secure and confirm all provisional bookings within 7 days. This may take longer due to reasons beyond our control, such as the venue being slow to respond to our request, however we will keep you informed.

A non-refundable deposit of £50 will be taken at this point.

 

Confirmed Bookings:

Once we send you the booking confirmation, this becomes a binding contract. You must check your booking confirmation carefully, as Roller Girl Gang cannot be held responsible for any incorrect or incomplete information.  We expect you to notify us within 48 hours if there is incorrect or incomplete information. If we have not heard from you, we will make the fair assumption that you are happy to proceed with your booking as detailed. 

Deposit:

Once you have received your booking confirmation, we require payment of 50% of the remaining balance within 7 days.  

Payment of the balance:

We require the final payment one month before the date of your party from the group leader.  This will complete your payment schedule. We will not accept separate payments from your party members. If full payment is not received, we will contact you once to remind you.  If we still do not receive payment, your party will then be cancelled. The group leader will be notified of the cancellation. 3 – Directions

Please make yourself aware of the most suitable directions to the venue. You will find these directly on your booking confirmation. We accept no responsibility for you arriving at the wrong venue, or arriving late.  We are unable to extend your party time or refund you for missed time. 

Where Nightclub entry is given, this could mean a late night bar type venue. Closing times do change depending on days of the week.  This is at the venues discretion. VIP entry means queue jump guest list entry. Please make yourself familiar with the club/bars rules and regulations, opening and closing times, dress code and other entry and exit rules before attending.

 

 

4 – Changes and Cancellations by us

IF WE CHANGE OR CANCEL YOUR BOOKING

It is unlikely that we will have to make any changes to your event, as we do plan the arrangements many months in advance. Occasionally we have to make changes and we reserve the right to do so at any time. Most of these changes are minor and we will advise you of them at the earliest possible date. A change of venue can happen for a number of reasons, including a change of venue management. Changes to your venue can happen at any time and this is beyond the control or liability of Roller Girl Gang.  

 

If our venue advises they are no longer able to fulfil the booking, we will offer you:

  1. An alternative venue on the same date. 

  2. An alternative date at the same venue.

 

If we are able to advise you with more than one month to go and you do not wish to proceed with either of these alternatives, we will refund the total paid minus the non-refundable deposit..

If there is less than one month to go and you do not with to proceed with either of these alternatives, we will refund you 50% of the total party booked (assuming you have paid in full.

If we are prevented from attending your event due to an accident or sudden illness, you will receive a full refund of monies paid (minus the deposit). However, Roller Girl Gang will not incur any additional liability for non-appearance.

 

 

5 – Changes and Cancellations by you

If you wish to cancel your party more than one calendar month before the date of your roller skate party, we will refund you the full cost you may have paid, minus your deposit.

If you wish to cancel your party less than one calendar month before your roller skate party, we will refund 25% of the total paid. Cancellations must be emailed with booking reference number.  

Once your roller skate party has been confirmed with the venue, we are unable to amend the date and time.  If you wish to move the date, we will cancel the party booking and you will be required to re-book a new date with a new deposit..

 

 

6 –  Liability

Roller skating is a risky activity. Roller Girl Gang shall accept no responsibility whatsoever for any injuries or loss incurred by the client or its guests, associates or agents during the event. We are not responsible for any damage, injury, death or loss you may incur whilst roller skating. We require every participant to sign a waiver of liability document prior to receiving their roller skates.

Roller Girl Gang holds full, current, public liability insurance and take the safety and well being of participants at classes, workshops, events and parties very seriously.

 

You must not be visibly under the influence of alcohol.  Please bear in mind we will greet guests with one glass of Prosecco, unless you advise you would prefer a non-alcoholic alternative.  We reserve the right to refuse to provide roller skates to participants if we feel they will be a danger to themselves or others. We deliberately time your roller skate party to be late afternoon / early evening, so you can enjoy alcoholic beverages after your roller skate party.

We are working particularly hard to engage hard-to-reach members of our local community in Leeds, particularly families living in poverty and the BIPOC community, who would benefit the most from developing resilience and self confidence through learning to roller skate.  Non-competitive roller skating is a great social activity and increases both mental and physical well being, and we are also working alongside charities who support all sectors of the community. 

Full Terms and Conditions for Private Hire Events at Your Venue

1 – Communication

All our quotes are bespoke:

These depend on:

  • Distance to your venue from Leeds

  • Number of guests involved

  • Length of time you would like us for  

 

 

 

2 – Booking and Payment

 

50% of balance is due within 14 days of booking being confirmed.

Four weeks before event date- remaining 50% balance is due.

If your event date is less than four weeks away, full payment will be required within 14 days to secure the booking.

 

2.1 Provisional Bookings:

A provisional booking is defined as a private hire event that has been booked without full confirmation of the time and date. We aim to secure and confirm all provisional bookings within 14 days.

2.2 Confirmed Bookings and deposit:

Once we send you the booking confirmation, this becomes a binding contract. You must check your booking confirmation carefully, as Roller Girl Gang cannot be held responsible for any incorrect or incomplete information.  We expect you to notify us within 14 days if there is incorrect or incomplete information. If we have not heard from you, we will make the fair assumption that you are happy to proceed with your booking as detailed and will require a deposit of 50% of the total cost, within 14 days.

2.3 Payment of the balance:

We require the final payment four weeks before the date of your event.  This will complete your payment schedule. If full payment is not received, we will contact you once to remind you. If we still do not receive payment, your event booking will be cancelled and you will be notified of the cancellation.  Please see information about cancellation below.

2.4 Number of guests:

Our party packages are designed to be flexible for anyone to take part.  We will bring a selection of roller skate sizes, from Jnr 8 to UK 12, with multiple pairs of more popular sizes.  We will also bring our protective pads as some guests may choose to wear these. Roller skating is a risky activity and we will require all guests to sign a liability waiver before they take part.

The number of guests taking part is dependent on the space you have available.

3 – Directions and Venue

We require comprehensive directions to the venue, provided to us at the time of booking.  We will also require at least two contact telephone numbers in case of emergency.

If you are not the venue manager, we must have contact with them as soon as possible.  We also need to know about access to the proposed event room. You will provide us with free parking or parking permit with good access for unloading/loading.

 

 

4 – Changes and Cancellations by Us

IF WE CHANGE OR CANCEL YOUR BOOKING

It is unlikely that we will have to make any changes to your event, as we do make arrangements many months in advance. Occasionally we have to make changes and we reserve the right to do so at any time. Most of these changes are minor and we will advise you of them at the earliest possible date. We will ensure that any changes that need to be made do not affect the total time we spend delivering your event.

Roller Girl Gang CIC make every effort to attend your event, however in the case of unexpected accident or illness which prevent us from attending, you will receive a full refund of all monies paid.  We will not incur any liability or expenses beyond this.

 

5 – Changes and Cancellations by You

Cancellations must be emailed with your booking reference number, and will be acknowledged.

If you wish to cancel your event more than six weeks before the date, you will receive a refund of 25% of the amount paid to that date.

If you wish to cancel your event with fewer than four weeks to go, we will not refund you.

 

6 – Force Majeure Cancellations

Should we be unable to carry out your event because we are prevented due to reasons beyond our reasonable control, for example terrorist threat, extreme weather eg. earthquake, flooding or government restrictions, we will reschedule at the earliest convenient date.

 

7 –  Liability

8 - Our equipment

We maintain our roller skates as required, but they are inspected every time they are used. Wheels are cleaned as required, and other parts that deteriorate with time are also replaced as required.  We purchase new hire stock regularly and only use Rookie branded roller skates as we feel these are the best for beginner and intermediate level roller skaters. Our protective pads, including knee pads, elbow pads and wrist guards are also available to be used and we will bring these with us, including some packs in children’s sizes.  Our roller skates will not damage any floor, unless they are used in a way they have not been designed for. We will inspect the floor before, during and after the session, including taking video of it.

 

9 - Fitness to skate

We assume that participants wishing to roller skate do not have an existing medical condition that could be aggravated by roller skating. These include, but are not limited to, high blood pressure, brittle bones or joint injuries. If participants are pregnant, we strongly advise against roller skating. 

 

10 - Use of Private Space

Roller Girl Gang CIC assume you have checked with the venue manager that roller skating is allowed on their premises.  Where possible, we will conduct an on-site risk assessment.  If this is not possible, we require photographs or videos of the proposed space, to support us with event planning. We advise that objects such as vases of flowers are not placed within the skating area and food and drink are kept away from this area.  Providing it is dry, a flat space outdoors is suitable, for example a car park. If our staff arrive at the venue and feel the space provided is unsuitable, we will do our best to suggest an alternative solution.  Safety is our primary concern, and we will not allow a roller skate party to go ahead in an unsuitable space. This will be deemed as a cancellation by you, so clause 5 will apply.
