Terms & Conditions of Booking

Full Terms and Conditions for promotion, live shows, performances and demonstrations

 

1 – Communication

When you make a booking we assume the person making the enquiry is:

  1. Over 18

  2. Taking responsibility for the group booking

  3. Able to respond to any requests for information from us, within 48 hours of the request being made.

 

Bespoke Quotes

These depend on:

  • Distance to your venue from Leeds

  • Length of time you would like us for

  • The type of interaction you would like - walkaround, performance, demonstration.

  

Guideline prices (per skater):

Walkaround - 4 hours at your event giving out promotional items, in themed costume £250 

 

Demonstration - learn to roller skate / roller skate tricks 

2 x 30 minutes £80 

 

Performance - roller dance to one song £80

 

Travel costs are not included.  Should you wish to book 3 or more of our promotional team of roller skaters, we can offer you a discount.

 

 

2 – Booking and Payment

3 stages of payment:

Deposit - £50

Confirmed booking 50% of balance is due within 7 days of booking being confirmed.

Six weeks before event date- remaining balance is due.

If your event date is less than six weeks away, full payment will be required within 7 days to secure the booking.

 

Provisional Bookings:

A provisional booking is defined as a private hire event that has been booked without  full confirmation of the time and date. For example, by using our website booking form or booking at an event / wedding fair. We aim to secure and confirm all provisional bookings within 7 days.

Confirmed Bookings:

Once we send you the booking confirmation, this becomes a binding contract. You must check your booking confirmation carefully, as Roller Girl Gang cannot be held responsible for any incorrect or incomplete information.  We expect you to notify us within 7 days if there is incorrect or incomplete information. If we have not heard from you, we will make the fair assumption that you are happy to proceed with your booking as detailed and will require a deposit of 50% of the total cost, within 7 days. 

Please make sure you are clear about the theme of your event and communicate with us about costume choices.  If you are booking us for a roller dance performance and you would like to select a song, this needs to be done at this stage, as we will require time to choreograph and rehearse.  We expect you to provide any promotional items you would like us to give out in walkarounds. If you later change your mind on these details, it will likely incur extra cost, as we may need further rehearsal time, or need to purchase a different costume.  Please note that our costumes are always family friendly. Some of our performers have tattoos. If you do not wish to have visible tattoos, please make this clear at the time of booking.

Payment of the balance:

We require the final payment six weeks before the date of your event.  This will complete your payment schedule. If full payment is not received, we will contact you once to remind you.  If we still do not receive payment, your event booking will be cancelled and you will be notified of the cancellation.  Please see information about cancellation below.

 

3 – Directions and Venue

We require comprehensive directions to the venue, provided to us at the time of booking.  We will also require at least two contact telephone numbers in case of emergency.

If you are not the venue manager, we must have contact with them as soon as possible.  We also need to know about access to the proposed event room. You will provide us with free parking with good access for unloading/loading. We will require a dressing room and soft drinks.

 

 

 

4 – Changes and Cancellations by us

IF WE CHANGE OR CANCEL YOUR BOOKING

It is unlikely that we will have to make any changes to your event, as we do plan the arrangements many months in advance. Occasionally we have to make changes and we reserve the right to do so at any time. Most of these changes are minor and we will advise you of them at the earliest possible date. 

Roller Girl Gang CIC make every effort to attend your event, however in the case of unexpected accident or illness which prevent us from attending, you will receive a full refund of all monies paid, minus the deposit.

 

5 – Changes and Cancellations by you

Cancellations must be emailed with your booking reference number, and will be acknowledged.

If you wish to cancel your event more than six weeks before the date, you will receive a refund of 25% of the amount paid.

If you wish to cancel your event with fewer than six weeks to go, we will not refund you.

Once your event has been confirmed by us, you will have entered into a binding agreement with us and we are unable to amend the date and time.  If you wish to move the date, we will cancel the event booking and you will be required to re-book a new date with a new deposit.

 

6 –  Liability

Roller skating is a risky activity. Roller Girl Gang shall accept no responsibility whatsoever for any injuries or loss incurred by the client or its guests, associates or agents during the event. We are not responsible for any damage, injury, death or loss you may incur whilst roller skating.

Roller Girl Gang CIC holds full, current public liability insurance and take the safety and well being of participants, performers and audience very seriously.

 

Our equipment:

We maintain our roller skates as required.  Additionally, they are inspected every time they are used. Our roller skates will not damage any floor.  We will inspect the floor before, during and after your session, including taking video of it.

 

Your event space:

Roller Girl Gang CIC assume you have checked with the venue manager that roller skating is allowed on their premises.  Upon arrival to your venue, our staff will conduct a risk assessment of the space and if there are any concerns, we will inform you immediately.  Safety of our staff and the public is our priority. If there are safety concerns, we will not go ahead with the booked event until they have been satisfactorily resolved.  This will be deemed as a cancellation by you, so clause 5 will apply.


 

About our company:

Roller Girl Gang is a Community Interest Company, and we re-invest all profits into the development of our skate community.  We want to provide a safe space where everyone is welcome to participate. We are working particularly hard to engage hard-to-reach members of our local community in Leeds, particularly families living in poverty, who would benefit the most from developing resilience and self confidence through learning to roller skate.  Non-competitive roller skating is a great social activity and increases both mental and physical well being, and we are also working alongside charities who support all sectors of the community. Roller Girl Gang was founded in January 2015 by Mel Blackwood and Len Laird to encourage women to lead a more active lifestyle through roller sports.  While this is still at the heart of the company’s ethos, everyone is welcome to skate at classes, workshops and events.
